Job Description

The Executive Assistant plays a pivotal role in supporting senior executives and ensuring the smooth functioning of the organisation. Reporting to the Chief Operating Officer, you will ensure that our executive team is well organised and effective at making critical decisions and steering the organisation towards achieving its set strategy.

Beyond administrative tasks, this position involves critical thinking, proactive problem-solving, firmness in data analysis, and the ability to quickly develop a deep understanding of our business model.

The ideal candidate will be reliable, well-organised, an independent problem-solver, have a sense of urgency, and be cheerful and confident.

Key Responsibilities

OKR Tracking

  • Own the OKR (Objectives and Key Results) system and ensure it is well-structured and up-to-date.
  • Liaise with department heads to support the tracking of key results.
  • Conduct or coordinate analysis where required to provide evidence for key results

Research and Analysis

  • Conduct thorough research on industry trends, competitors, and relevant topics.
  • Analyse data and present actionable insights to assist decision-making.

Drafting Reports

  • Prepare comprehensive reports, summaries, and presentations.
  • Ensure accuracy, clarity, and adherence to organisational standards.

Meeting Preparation

  • Attend meetings and record accurate minutes.
  • Summarise discussions, action items, and follow-up tasks.
  • Coordinate and organise meetings, including scheduling, agenda preparation, and logistics.
  • Collaborate with stakeholders to ensure effective meeting outcomes.

Action Item Tracking

  • Monitor agreed-upon action items and deadlines.
  • Facilitate communication within the executive team to ensure timely completion.

Business Understanding

  • Develop a deep understanding of the organisation’s goals, processes, and challenges.
  • Collaborate with various departments to align administrative support with business objectives.

Confidentiality

  • Handle sensitive information discreetly and maintain strict confidentiality.
  • Uphold ethical standards and protect organisational interests.

Independent Work Ethic

  • Proactively manage tasks without constant supervision.
  • Prioritise workload effectively and meet deadlines.

Qualifications

  • Bachelor’s degree in business administration, HRM, or related backgrounds.
  • Previous experience as an Executive Assistant or in a similar role.
  • Excellent verbal and written communication skills.
  • Strong organisational and multitasking abilities.
  • Proficient with the Microsoft Office software suite
  • Experienced with data analysis in Microsoft Excel.
  • Team player with the ability to thrive in the fast-paced IT industry.
  • Ability to adapt to changing priorities and handle unexpected situations
