Job Description

This is a key position in a fast paced and dynamic environment – you will be required to project manage staff appraisal, training & development, our OKR (objectives and key results) system and be fully engaged in all areas of the business, providing outstanding executive and personal support to our CEO and Founder.

As Solivus are scaling up fast, you will go on the journey with us, building the business together with a great sense of adventure! You will be the lynch pin of the business.

The Responsibilities

  • Managing our CEO’s inbox

(continually check our CEO’s emails / proactively respond to queries on her behalf / flag urgent emails / chase actions and follow ups / pre-empt meetings to organise / forward emails to the appropriate areas of the business)

  • Managing our CEO’s diary

(proactively organise an extremely busy, challenging, and ever-changing diary to align with various directors and clients)

  • Booking and confirming meetings for our CEO with urgency and pace
  • Assisting with our Senior Management board meetings

(prepare a board pack / record minutes and actions from board meetings)

  • Managing and facilitating staff training
  • Tracking staff development
  • Managing staff appraisals
  • Managing our OKR (objectives and key results) system
  • Supporting staff to deliver their development goals and OKRs
  • Arranging international and domestic travel for the CEO.

(flights, hotels, cars, etc.)

  • Arranging social events
  • Assisting in the preparation and printing of presentations & proposals
  • Updating our CRM system with our CEOs activities

Qualifications

  • Advanced knowledge of MS Office, including Word, MS Outlook, Excel, PowerPoint, Teams, and OneNote
  • Excellent verbal communication skills
  • Excellent written communication skills
  • Project Management experience with fundamental skills
  • Being a great team player
  • Being proactive and taking the initiative
  • The ability to work without supervision
  • The ability to work calmly and efficiently in a pressurised environment and thrive in demanding situations
  • The ability to handle multiple tasks and competing priorities with tight deadlines

  • Experience with CRM systems
  • Working from 08:30-17:30 Mon-Fri
  • Working in our London office 2-3 days a week
  • Be able to occasionally work at our 2nd site in Westerham, Kent - a taxi ride from Sevenoaks or Oxstead stations.
