Job Description

​​​​​​The Marketing Operations Coordinator will be responsible for performing basic CRM administrative duties and will provide project support to the marketing team while utilizing technical knowledge and HTML coding skills.

Details of Role: 

HubSpot CRM Administrative Duties: (60%) 

  • Meet with HubSpot rep weekly to review requests, reports, and explore new integrations or updates to the HubSpot platform 
  • Perform data clean-up and manage data integrity in the CRM through process implementation, establishing best practices as needed. 
  • De-duplication – Manage in conjunction with NetSuite deduplication efforts 
  • Data validation – Sample records and identify discrepancies, then proposing solutions 
  • CRM maintenance – Make suggestions to EA on records that may be removed 
  • Create and manage reports in HubSpot with clearly established goals, analyzing various and visualizing data in a meaningful way 
  • Create and manage active contact lists using IF, AND, OR criteria to create effective contact segmentation in HubSpot 
  • Oversee and perform data imports for Marketing email lists 
  • Review error reports and identify solutions to correct or minimize errors 
  • Generate reports with meaningful insights to measure the effectiveness of marketing campaigns and strategies 
  • Import data from NetSuite to HubSpot ~1x per month 
  • Create and update forms, vetting business use for new forms and monitoring submissions 
  • Create and implement workflows for marketing drip campaigns 

Production & Marketing Project Support: (40%) 

  • Provide support for the Spear Digest process:  
  • Create monthly Jira epics, all individual story tickets, and Canto folders 
  • Development Phase 2 – clean-up HTML code, add standard formatting, and manage Digest images in AWS 
  • Provide support for Marketing development projects: 
  • Create and update HubSpot landing pages, templates, or emails, relying on HTML/CSS coding skills as needed 
  • Review project requirements with the Marketing Project Manager to accurately identify development needs and outline clear development instructions 
  • Collaborate with marketing’s web developer on new projects individually and with participation in project kick-off calls, and provide support on current projects as needed 
  • Create documentation for Marketing production or operations processes in Confluence 

Qualifications

  • Bachelor’s degree in Management Information System Management, Marketing or similar degree, or equivalent work experience  
  • 2+ years CRM/marketing automation system administrative work (HubSpot, Marketo, Salesforce.com, etc.)  
  • Data analysis and data visualization experience 
  • Strong written and verbal communication skills 
  • HTML coding – Intermediate experience 
  • Detail-oriented 
  • Familiarity with Jira is a plus
