Job Description

Position Summary

The Experience Manager is responsible for cultivating the office experience for Pereira O’Dell’s East Coast Headquarters in New York City. You are highly visible as the first point of contact for employees, candidates, clients and guests as we establish a modern workplace. An important part of this role will be to help define and design the in-office experience alongside the President.

Essential Duties & Responsibilities

  • Front Desk Concierge: You are the first point of contact for anyone who steps off the elevator and into the space. Responsible for fielding and stewarding people in and out with your assistance, as they need it.

    • Tasks include answering guest inquiries, directing phone calls, coordinating travel plans for guests and more. Managing packages (incoming and outgoing) and mail. Helping facilitate the Envoy system with guests. Upholding company culture at all times while making guests feel welcomed and valued.

    • This role will manage the reception area in the office Monday - Friday, 9am-6pm.

  • Facilities Management: Interface with building management to ensure space is well taken care of and issues resolved immediately. You are the keeper of key building information, contracts and details. Work closely with the Chief Financial Officer on HVAC, leasehold improvement management, building COI requirements and compliance with other building standards.

  • Office Systems: Understanding and managing office systems, both physical and platform related, for ex. printers, shades, kitchen appliances, IT networks, screens and projectors. Manage office visitor entry system, key fobs tracking, office alarm, lighting and other platform/ software related systems.

  • Office as Experience: Working with the President and core teams to implement ideas and execute on initiatives that will redefine how we use and think about our office space, including events and perks.

  • Executive Support: Support the President with administrative tasks including managing events and meetings, client meeting coordination, expense reports and special projects. Also support the President in administrative tasks associated with running various staff meetings, eg: setting up agency meetings, planning happy hours.

  • Steward of Hospitality: Above all else this role will be a steward of hospitality and welcomeness for all. This person will play a critical role in welcoming our team members and guests back into the office.

Physical Demands

  • Because of the nature of this role, you will need to be in the office Monday - Friday, 9am - 6pm.

  • Need to be able to move or lift items up to 50lbs for event set-up or office preparation

Additional Information

For positions that will be based in NYC, the annual salary range for this position is $60,000 - $70,000. Actual salaries may vary based on numerous factors including, among other things, an individual applicant’s experience and qualifications for the positions.
