Job Description

Applerouth Tutoring Services seeks an experienced receptionist from the hours of 9 to 5:30 EST with a regularly scheduled lunch break. The candidate will be responsible for handling all incoming telephone calls, processing billing twice a month, and performing administrative tasks as required for all members of the Applerouth team. As the front-line representative of Applerouth, the candidate must have a clear, pleasant speaking voice, the ability to write clear and concise emails, and a professional demeanor. The ideal candidate will have a strong work ethic, be resourceful and reliable, and have excellent organizational skills.  

Major Responsibilities:

• Reception coverage 9 to 5:30 PM daily (Monday through Friday)

• Welcome guests by greeting them in person or on the telephone

• Direct/Transfer clients to the appropriate party and take clear and accurate messages, as appropriate

• Send clients periodic service check in emails

• Check and distribute internal mail

• Maintain/update and distribute employee contact list 

• Prepare invoices and process billing twice monthly

• Send thank you cards to referring clients

• Send congratulatory gift cards to tutors and students who achieve a perfect score

• Create and merge accounts

• Add students to class and event rosters

• Assist Operations Department with coordinating company events 

• Prepare conference room for meetings and interviews

• Run various office errands including: depositing checks at the bank, going to the post office, or picking up a birthday cake

• Attend team meetings, companywide meetings and weekly check ins with management 

• Perform other clerical or administrative duties, as assigned


Qualifications

• Previous working experience as a receptionist or in a similar role.

• Proficient with Microsoft Office Suite and Google Suite 

• Excellent interpersonal, written and oral communication skills

• Excellent organizational and prioritization skills

• BS/BA required
