Job Description

In the words of author Dale Carnegie, "Remember that a person's name is to that person the sweetest and most important sound in any language."  As the face of the firm, it is imperative to remember our clients’ names and faces and to maintain a positive, pleasant, welcoming, and friendly demeanor, in person, as well as on the phone.  The Office Assistant provides administrative support to others in the firm to ensure effective and efficient office operations. The key to success in this position is to anticipate the needs of others throughout the firm and the needs of our clients. Among other duties, you will maintain office supplies, receive and distribute communications, schedule necessary property maintenance, head many internal communications/announcements, and assume firm party planning. The Office Assistant will identify areas for enhancements that will bring efficiency to other members of the team and overall will provide value to the client. To do this, it is essential to understand the varied departments and positions throughout the firm. You will work with the owner, managers, assistant managers, bookkeepers and members of payroll, financial services, IT, marketing and sales. Building a good rapport with clients and co-workers is essential. You will gain proficiency in many software programs, including Outlook, Excel, Word, Access and a suite of tax programs. You must efficiently manage time pressures due to various tasks and deadlines in order to be successful in achieving firm goals.  You will need to demonstrate integrity, honesty, dependability, enthusiasm, organization and professionalism daily in this position, as well as hold true to the firm’s vision and values.

  • Flexibility and the ability to prioritize new tasks as they come in
  • Excellent interpersonal communication
  • Effective time management skills
  • Prior customer service experience preferred 
  • Must be tech savvy 
  • Ability to maintain calendars and schedule appointments.
  • Ability to understand and follow specific instructions and procedures.

Additional Information

During tax season (February to mid-April) the office assistant's duties are more significant; therefore, we do not take vacations during this time frame.
