Job Description

Who are we looking for?

medneo is looking for an enthusiastic Healthcare & Administration Assistant who is passionate about providing the Centre patients with welcoming and positive experience, enjoys working as part of the team and can support the Radiographers with the completion of pre-scanning paperwork and preparations for the examination.

You will assist with a full range of administrative, office and reception tasks dealing with all Centre incoming enquiries, following billing protocols, compiling reports and updating trackers.

Your Role Will Include:

Front desk operations – this will see the post holder undertaking a diverse range of tasks to include:

  • Answering the telephone in a timely and professional manner
  • Attending to mailboxes and ensuring all enquiries and requests are attended to promptly
  • Keeping telephone and email directories up-to-date with the correct information
  • Booking of appointments and sending out appointment letters/emails
  • Scheduling of patients on the RIS system and looking to fill gaps in the schedule wherever possible
  • Keeping referrers informed of changes to their patients appointments
  • Keeping track of contractors/visitors and ensuring they sign in the visitors book, are given a badge and complete a Contractors Visitors Agreement form.
  • Ensuring everyone visiting or attending the Centre sign in on the Fire register at reception
  • Help to keep clinical and reception areas clean and tidy at all times. Ensure that surfaces are decontaminated between patients in accordance with the Covid SOP
  • Ensuring that water bottles and other waiting area supplies are regularly checked and replacements ordered as required

Patient care – putting patients at ease and adapting to the needs of the individual

  • Welcoming patients and assisting with completion of preparation paperwork
  • Escorting patients to the changing rooms and helping them prepare for examinations
  • Explaining procedures, answering questions and providing reassurance by anticipating patient’s anxieties
  • Assisting the Radiographers with preparing the patients for examinations
  • Assist with chaperoning and patient manual handling
  • Monitor time-keeping of appointments and advise patients and staff appropriately

Office and general administration

  • Maintain operations by following policies and procedures; making suggestions for improvements or corrections as necessary
  • Handle incoming and outgoing mail and direct correspondence to the addressed staff member
  • Take items to the post office if required by the wider the business or arrange for items to be collected by courier
  • Accepting and unpacking of deliveries at the Centre. Assistance with carrying out regular stock takes and maintaining stock records.
  • Keep business, operational and enquiry trackers up-to-date
  • Downloading and sending reports to referrers and updating the patient trackers
  • Testing of the fire alarm and other similar premises duties

Financial and billing administration

  • Advising patients of the process for payment and insurance claims
  • Check insurance codes for patients and add the notes to the Biotronics system
  • Raise patient invoices on the accounting system in accordance with set procedures
  • Support the Finance team with timely reconciliation of credit card payments and daily PDQ reporting
  • Take cash payments and cash them in regularly in accordance with the Cash Handling Policy, keeping the Cash Payment Register updated

Please note that we believe in flexibility and multi-skilling, and you may be asked to do different tasks from time to time to enable us to meet the needs of our patients and colleagues.

  • Have strong IT skills across all Microsoft programmes
  • Experience of working with patients in a healthcare environment is desirable
