Job Description

General Description

Under the direct supervision of the Head, Human Resource and Administration, the Programme Assistant – HR & Admin will support the Unit on the delivery of its workplan.

Responsibilities

The Programme Assistant – HR & Admin will assist the Head of Human Resources and Admin in the delivery of HR activities and implementation of WACSI’s capacity development programmes and daily administrative tasks of the Institute.

Human Resources

  • Support all internal and external HR related inquiries or requests
  • Maintain digital and electronic records of employees
  • Serve as point of contact with benefit vendors and administrators
  • Assist with the recruitment process by identifying candidates, performing reference checks and issuing employment contracts
  • Maintain calendars of the HR management team.
  • Oversee the completion of compensation and benefit documentation
  • Assist with performance management procedures
  • Schedule meetings, interviews, HR events and take notes
  • Coordinate training sessions and seminars
  • Perform onboarding and update records of new staff
  • Produce and submit reports on general HR activity
  • Conduct employee surveys to support decision-making
  • Keep up-to-date with the latest HR trends and best practices

Administrative

 ·        Manage office supplies stock

·        Prepare month-end payment requests

·        Maintain and update Unit workplan

·        Update office policies as needed

·        Manage the conference facility

·        Schedule in-house and external events

Qualifications

*  Bachelors degree in Human Resources, Administration or related professional qualification

* Previous working experience in the civil society sector

*  Demonstrated experience in human resources and administrative duties

*  Have good communication and excellent writing skills in English and French languages

* Pays attention to details

*  Results oriented

*  Perfectly biligual (in English and French) with high proficiency in both languages

*  Have ability to work in a multicultural and highly diverse environment; and 

*  Ability to travel across West Africa and beyond
