Job Description

The Santa Clara Valley Open Space Authority seeks an Office Assistant to support the day-to-day operations of the Authority, providing excellent customer service and independently completing clerical tasks with efficiency and accuracy.
 

The Ideal Candidate

You are a highly organized and detail focused administrative professional with a minimum of 3 years administrative support experience working to support a driven and dynamic team.  You enjoy a wide variety of office and clerical responsibilities and have the confidence to work independently and as part of a team. You will take pride in representing the mission of the Authority as the first point of contact for the public, volunteers, and partners when they contact the office. 

 

This position will primarily provide support to the Office Management and Field Operations teams through maintenance of new and existing systems, completing research, drafting memos and communications, and supply inventory management. This support extends to all staff of the Authority by maintaining the tools and resources staff need in the course of their work, including office equipment and supplies and providing meeting setup support such as Zoom or A/V needs for in-person and virtual meetings. You will assist the preparation and maintenance of administrative file systems and ensure that the office is open and ready for business on time each day.

You have the ability to effectively screen phone calls and visitors, and to use discernment to answer their questions, provide accurate information, and escalate inquiries to appropriate staff. Your strong communication skills and commitment to service enable you to effectively interact with all levels of personnel with ease and confidence.

 

Your willingness to learn and eagerness to contribute makes you the ideal candidate for our mission driven agency. You have strong skills in Outlook, Word, Excel, and Adobe Acrobat, and you are up for the challenge to master new software, such as our ERP and CRM systems.

Qualifications

The ideal candidate will possess the skills, education, and experience needed to be successful in this position. Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying.  For example:

  • Minimum of three years in an office support or clerical role.
  • A positive, upbeat attitude and experience delivering superb customer service.
  • Strong technical skills in Outlook, Word, Excel, and Adobe Acrobat.
  • Excellent verbal and written communication skills, with demonstrated confidence to interact with individuals from all backgrounds.
  • A track record for providing consistent and reliable support for the team.
  • This position is required to take and pass a pre-employment background check.

Compensation & Benefits

The salary range for this full-time, non-exempt position is $27.94 to $33.96 hourly, depending on experience and qualifications. To complement this salary, we offer a robust benefits package that includes medical, dental, and vision insurance for employees and their dependents – we cover 100% of the cost for these premiums. We participate in CalPERS retirement programs as well as offering a separate 457 Plan for tax deferred retirement savings. A basic life insurance policy is provided to all eligible employees with the option to purchase additional personal insurance benefits.
