Company Description

We are looking for a competent Project Coordinator to undertake a variety of administrative and program management tasks as part of the Program Management Office. You will help in planning and organizing programs and activities as well as carry out important operational duties related to managing a multi-year transformational program.  

 

Each member of the PMO effectively works together to manage different aspects of the program and individual accountabilities.  To be an excellent program coordinator, you must be organized and detail-oriented, comfortable working with diverse teams. 

 

As Project Coordinator, you will be reporting to the Program Manager, working with other Project Managers, Product Owners, Scrum masters and Stakeholders. The key The goal will be to facilitate the effective management of the program and any of its administrative requirements as well as helping to manage the overall budget.

Job Description

  • Coordinate project management activities, resources, program meetings and communications
  • Liaise with stakeholders to support activities against the various program work streams
  • Act as the point of contact and communicate project status to all participants
  • Assign tasks to internal teams and assist with schedule management
  • Monitor project progress and handle any issues that arise
  • Capture and follow-up on Program Issues and Risks in RAID log 
  • Work with the Project Manager to eliminate blockers
  • Create and maintain comprehensive project documentation, plans and reports
  • Provide direct support to Project Managers to execute all administrative tasks associated with program
  • Attend meetings, take minutes and distribute with timely follow up for action items
  • Prepare monthly budget for reviews and manage accruals with Finance
  • Work with vendors for monthly Invoices and time tracking
  • Participate in monthly program forecast meetings 
  • Effectively collaborate with all members of the Project Team
  • Provide admin support for program related to on-boarding, off-boarding, access, user-id and security requests for IT and Business 

Qualifications

  • 7+ years of progressive experience working within an IT organization  
  • Proven work experience as a Project Coordinator or similar role on large transformational program
  • Experience in project management, from conception to delivery
  • Superior written and verbal communication skills
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Solid organizational skills, including multitasking and time-management
  • Strong client-facing and teamwork skills
  • Familiarity with risk management and quality assurance control
  • Strong working knowledge of Microsoft Project and Microsoft Excel
  • Hands-on experience with project management tools (e.g. Rally, G-Suite, Teams)
  • Willingness to understand processes and suggest efficiencies 
  • Proactively assist in removing obstacles for project teams
  • PMP certification is a plus
