Job Description

The Administrative Assistant – Research is responsible for supporting the day-to-day functions of the Research team, particularly the administration of AFTD’s research grant portfolio. They will be responsible for grant-related correspondence with applicants, reviewers, and institutions; scheduling and preparing materials for scientific panel reviews; assisting applicants and reviewers with answers to commonly asked questions; preparing award agreements and notifications according to established protocols, and assisting in the development and distribution of funding opportunity announcements and other promotional materials to raise awareness of AFTD grant programs. The Administrative Assistant - Research will also have primary responsibility for maintaining AFTD’s research contact and grant record database in Salesforce. They will further support the Research department by carrying out organizational and administrative tasks necessary to AFTD-sponsored scientific meetings and conferences, creating call notes and meeting minutes, managing travel arrangements and expense reports for research department staff, and helping to maintain the research file infrastructure. They will also carry out additional tasks as requested in support of the team and will act as a member of the organization’s administrative resource pool, supporting various administrative projects as well as event and meeting planning as requested.

FUNCTIONAL RESPONSIBILITIES

Essential Job Functions

  • Grants Administration: Under the direction of the Research Manager, serve as administrative coordinator for the grant submission, review, and post-award processes including deadline reminders, reviewer invitations, scheduling review panels, preparing award agreements, notifications, and payment requests using existing templates, ensuring timely completion of reporting requirements, and organizing progress reports and follow-up calls with grant recipients. Update instructional text and submission deadlines on AFTD’s grants management platform. Assist Research Manager in the creation and distribution of funding opportunity announcements and other promotional materials to raise awareness of AFTD-funded and external grant programs. 
  • Research Contact and Grant Record Database Curation: Maintain researcher contact database in Salesforce; creating, organizing, or cleaning contact records. Create contact and grant records for AFTD partnership programs administered by the funding partner(s). Enter research performance data and upload grant-related documents. Maintain an accurate status summary of all active grants and update grant-related information and documents in Salesforce.
  • Research Conference and Meeting Support: Provide support for AFTD-sponsored scientific meetings and conferences, including streamlined contracting with vendors, correspondence with speakers, panelists, and attendees; maintaining and updating invitation lists and sponsored participant information and collaborating with external vendors to carry out event logistics. Schedule planning calls with discussion panelists, steering committee, and other groups as needed and complete post-meeting communications and data collection.
  • Departmental Support: Provide additional administrative support to the Research department by supporting the monthly Research Committee meetings with communications and drafting of meeting minutes, maintaining an efficient and orderly file infrastructure, locating or requesting articles from scientific literature, and managing travel arrangements and expense reports for research department staff. Participate in the development and implementation of effective processes and use of technology.
  • Organization Support: Provide backup coverage for other administrative functions across AFTD including reception coverage and in the maintenance of office and kitchen supplies as requested.

Other Job Functions

 SUPERVISORY RESPONSIBILITIES

  • This position is an individual contributor and does not have supervisory responsibilities.

Qualifications

  • Bachelor's degree, preferably in a life science discipline. Associate degree plus administrative experience will also be considered.
  • 2 years of relevant experience
  • Prior experience in an administrative role preferred. This can include volunteer activity
  • Strong Microsoft Office Suite skills, particularly Word, Excel, and PowerPoint are required
  • Salesforce or other CRM/AMS/database experience strongly preferred
  • Readily learns and adopts new technologies that may benefit the organization
  • Strong verbal and written communication skills and comfort working and building relationships with wide-ranging community online, by phone and in person
  • Strong organizational skills and attention to detail
  • Demonstrated active listening skills
  • Ability to be flexible and adaptable to work on a wide variety of projects; lending support where needed
  • Ability to approach work with a pleasant and professional demeanor

Additional Information

All AFTD staff members are primarily working remotely due to COVID-19 in compliance with CDC and AFTD guidelines. Following office reopenings, this position will be office-based.
