We have an immediate need for a talented and driven Project Manager. 

The ideal candidate will have extensive hands-on experience in project management at a medium to large marketing agency working with media teams including search marketing and be excited to bring their expertise to a boutique agency where they can make a significant impact to help the agency succeed and grow.

The Project Manager will be a solution-oriented individual, capable of planning and tracking multiple projects and resources.  S/He will be a self-starter with strong communication and leadership skills.  This role will be both internal and client-facing.

Duties & Responsibilities

  • Assist with developing tactical planning decks that map out recommended tasks, deliverables and timing for new and existing clients
  • Inform Statements of Work (SOWs)
  • Develop media spend OOP payment schedules
  • Manage out-of-scope requests and change orders
  • Inform project kickoff briefs
  • Develop and own project plans and Gantt charts
  • Identify and manage project dependencies to minimize delays to the critical path
  • Manage hours and timelines, and confirm that all work is delivered in a timely manner levering status reports, hours tracking and project management software
  • Assign tasks to resources on the client services team and communicate allotted hours per activity
  • Assist with managing media campaign workflows including routing deliverables for manager review
  • Schedule and help lead status meetings
  • Develop and manage hours tracking reports and burn sheets
  • Present hours tracking reports to internal teams and clients
  • Alert team members and clients when hours are over or under-burning
  • Audit team hour tracking entries to ensure accuracy
  • Recommend re-allocating budgets to under-burning projects as needed
  • Manage, track, and report on media spend to ensure proper pacing
  • Request additional resources when project timelines are behind schedule
  • Work with operations (finance) to ensure proper invoicing of fees and advanced payment of media spend OOP
  • Assist with the setup and management of project codes
  • Organize and manage next steps
  • Organize and distribute notes
  • Monitor billable hours and adjust estimates based on learnings
  • Develop new and refine existing project management processes
  • Keep up on the companies service offerings as well as industry trends

Qualifications

  • 4-year college degree in marketing, business, computer science, or related field
  • Must have experience working with JIRA project management tools and Confluence documentation software
  • Must prior big agency experience
  • Must have an adequate number of LinkedIn endorsements for Project Management
  • Passion for digital marketing and entrepreneurship
  • Must have strong analytical and problem-solving skills
  • Must have strong verbal and written communication skills
  • Ability to manage and prioritize multiple projects simultaneously
  • Must be able to make decisions in a fast-paced environment
  • Must be highly detail-oriented
  • Must have basic knowledge of web technologies
  • Must have working knowledge of social networking sites and search engines
  • Must have leadership qualities
  • 4-8 years of experience in project management
  • 2-3 years of experience in project management of media and SEM teams
  • Must have the ability and desire to train and develop talent
  • Prior pharmaceutical marketing experience a plus
