Job Description

The Santa Clara Valley Open Space Authority seeks an Administrative Assistant who is a dynamic, high performing, team player to thrive in our fast-paced and mission driven environment.

The Ideal Candidate

You pride yourself on your expertise in MS Office and your systematic approach to creating documentation, including memos, contracts, and correspondence. You enjoy a variety of administrative, human resources, and records management responsibilities, and have the confidence and demeanor to work in confidential situations. You have experience performing a wide variety of administrative and office support duties with minimal instruction or assistance.

The Administrative Assistant will support and improve business operations by assisting senior Administrative and Field Operations staff. The Administrative Assistant will play a key role in our preserve operations by conducting research to inform new practices and policy recommendations. This position will work closely with the Office and Human Resources Administrator to support the recruitment and onboarding of new staff and to improve human resources processes and agency culture.

You are a detail oriented and organized individual with demonstrated experience working accurately and efficiently, with humor, even when under pressure or on a deadline. Your willingness to learn and eagerness to contribute makes you the ideal candidate for our mission driven agency. Your strong communication skills and commitment to service enable you to effectively interact with all levels of personnel with ease. You are comfortable working on a team, in a supportive role, and taking initiative on independent assignments.

You bring a comprehensive knowledge of business language and the ability to prepare and proofread a variety of complex documents. Analytical thinking will serve you in completing research and making recommendations. You like to improve operations by providing creative ideas and implementing solutions.

Qualifications

The ideal candidate will possess the skills, education, and experience needed to be successful in this position.  For example:

  • Equivalent to the completion of twelfth (12th) grade and three (3) years of responsible general office support experience;
  • Experience working in support of human resources or office management is a plus;
  • Advanced skills with MS Office Suite and Adobe Acrobat;
  • Excellent communication skills;
  • Excellent writing, grammar, and proofreading skills;
  • This position is required to take and pass a pre-employment background check.

Compensation & Benefits

The salary range for this full-time, non-exempt position is $27.99 to $34.02 hourly, depending on experience and qualifications. To complement this salary, we offer a robust benefits package that includes medical, dental, and vision insurance for employees and their dependents – we cover 100% of the cost for these premiums. We participate in CalPERS retirement programs as well as offering a separate 457 Plan for tax deferred retirement savings. A basic life insurance policy is provided to all eligible employees with the option to purchase additional personal insurance benefits.
