Job Description

We are currently recruiting a Team Adminstrator on a permanent contract to join our team in Chiswick Park, West London. The overall purpose of this role is to work closely with the Head of Security Solutions and the Security Director, Intelligence & Operations for the Security Services Division (SSD), in support of the business agenda driven through their respective positions and teams.  The Team Administrator will provide administrative support to the Security Services Division Team as well as the wider central London team in order to ensure the efficient and effective performance of the individuals, team and overall function. 

Key Responsibilities

  • Support to Head of Security Solutions and Security Director, Intelligence & Operations
  • Provide administrative support as and when required
  • Ensure they have everything they need in order to carry out their day to day role
  • Proactively assist in scheduling meetings, booking meeting rooms, arranging visitor passes, printing collateral, organising catering and arranging IT support if required 
  • Assist with the organisation of events or conferences in any global location as and when required. This may require research into venues, arranging catering, booking travel via our in-house travel system, issuing information or invitations, capturing actions or outputs
  • Preparing agendas, notices and capturing minutes 
  • Arranging business travel related logistics (flights, accommodation, transport, visas) as and when required  
  • Assist with staff inductions
  • Creates, maintains and updates intranet, databases and spreadsheet files.
  • Creates, updates and maintains Global organisation charts

 

Support to wider Security Services Division Team

  • First point of contact for assistance with general queries
  • Proactively assist in scheduling meetings, booking meeting rooms, arranging visitor passes, printing collateral, organizing catering and arranging IT support if required 
  • Creates, maintains and updates intranet, databases and spreadsheet files.
  • Creates, updates and maintains Global organisation charts
  • Support with specific tasks as directed by the SSD Executive Assistant

Qualifications

Required Skills and Knowledge

  • Intermediate/ Advanced Microsoft Outlook, PowerPoint, Excel skills and ideally Visio
  • Proven organisational and administrative skills
  • Ability to multi-task and prioritize daily
  • Excellent verbal and written communication skills

 

Required Work Experience 

  • Experience in administrative role
  • Experience in a matrix organisation is desired but not necessary
  • Use a variety of multimedia communication tools (webex, video/ tele-conferencing) and internal software systems (expenses, procurement, CRM etc.)
  • Experience of working with broad cross-section of people in terms of varied levels of seniority and cultural backgrounds
