Together we:

  • Facilitate turn-key dental outreach experiences where volunteers can mentor local professionals and students and enjoy the human connections with patients, family, staff and other volunteers.
  • Build permanent dental clinics in cooperation with the communities they serve, where none exsisted before. This collaborative effort ensures joint investment of time and resources toward the long-term community benefits that permanent dental clinics with ongoing care provide.
  • Give access to on-going mentoring, comprehensive educational materials and support to local oral health care providers, institutions & students.

Spear Open Wide Foundation is hiring an Administrative Coordinator. The position is ideal for someone who is highly organized, detailed and customer service oriented with a strong desire to be part of making a difference!

In this role you could expect to spend half of your time doing administrative work and half interacting with the foundation’s potential, current and past volunteers and donors. The person in this role will manage the administration work surrounding volunteer trips to ensure top of class dental volunteer experiences. This person will also work collaboratively with foundation team members and actively involved volunteers. Maintaining and building strong relationships is key to the foundation’s continued success improving oral health in the communities we serve.

Job Description

ROLE SUMMARY

  • Answer calls, emails and other requests for information from potential dental volunteers.
  • Out-bound and scheduled volunteer sign-up and sign-up information calls.
  • Volunteer relationship management, service and support
  • Updates to necessary team members and leadership
  • System and multiple spreadsheets data entry
  • Management of multiple calendars, statistics and reports

DAY-TO-DAY RESPONSIBILITIES

  • Maintain and work within a pre-established filing system, data base and collaboration process.
  • Work within a customer relationship management software
  • Collaboration with Guatemalan team members and leadership
  • Process customer credits and refunds
  • Provide excellent customer service to volunteers

Qualifications

YOU MUST HAVE

  • Fluency in Spanish
  • Intermediate to advanced knowledge of MS Excel and other MS Office applications
  • Superior communication skills, including: face-to-face, telephone, social media and written correspondance
  • Experience with Customer Relationship Management systems
  • Innovative, cultivative, and growth-oriented mindset
  • Commitment to helping internal customers and external volunteers & donors
  • Self-motivated
  • Highly-organized
  • Excellent time management skills

Additional Information

PHYSICAL DEMANDS & WORK ENVIRONMENT

This is mostly a sedentary position, where normal bending, stooping, stopping,walking and lifting are required. The ability to visually interpret written text, prepare written documents, communicate via telephone and a variety of computer-based business applications. This is an office type environment with normal noise levels, and comfortable temperatures,
