Graduate Admissions Coordinator

Job Description

SUMMARY: This full-time position works to ensure that all aspects of the recruiting and admissions process run smoothly and effectively for graduate programs in the McColl School of Business. The coordinator will be an integral part of a team of faculty and staff that oversees the marketing, communications, enrollment and student services that inform, guide and assist individuals in all aspects of their student experience.

The coordinator will inform prospective students about McColl School graduate programs, identify qualified candidates, and guide them through the admissions process. He are she will help design and implement a marketing and communication plan to attract students and encourage them to enroll in a McColl School graduate program. To track the success of marketing and recruitment efforts, the coordinator will regularly prepare admissions reports, including data on inquiries, applications and new students.

The coordinator reports to the Senior Director of Enrollment Management & Student Services. In addition, the coordinator will work with and assist other departments on the Queens University campus to achieve common goals in recruiting and admissions.

This position is not exempt from provisions of the Fair Labor Standards Act (FLSA) and therefore is eligible to earn overtime pay for hours worked over 40 each week.

Recruiting and Admissions
• Schedule class visits, admissions appointments, and interviews
• Participate in Prospect Reviews
• Manage the McColl School email inbox
• Promptly follow-up with prospective students
• Keep applicants informed of admissions status and materials received
• Collect fellowship applications and communicate updates to those applicants
• Manage completed Online MBA admissions files
• Generate various admissions reports and compile enrollment and inquiry data to assist Senior Director of Enrollment Management & Student Services

Communications and Marketing
• Assist with email campaigns and monthly newsletter
• Implement Social Media campaigns
• Manage mailings to prospective students
• Track marketing and promotional materials; order when necessary

Administrative Duties
• Answer phone and greet walk-ins in a friendly, helpful manner
• Accurately and timely process mail

Other
• Provide assistance to graduate admissions coordinators in other academic programs across the Queens University campus.
• Coordinate events, including Information Sessions, networking events, corporate recruiting events, etc.
• Assist with MBA Residencies, Orientation, and McColl School sponsored events (BWOY, HR Leadership Summit, MSAA Golf Tournament, etc.)
• Represent the McColl School of Business at events
• Oversee various projects as deemed necessary

Qualifications

Experience, Knowledge, Abilities, and Skills Required
• Ability to establish rapport with a wide spectrum of people
• Excellent interpersonal, verbal, and written communication skills
• Team player – works well with others to do what’s needed to achieve common goals
• Ability to plan and organize events
• Effective time management and organization skills
• Flexibility to work some evenings and weekends
• Proficiency using Microsoft Office (Word, Excel, PowerPoint, and Outlook)
• Ability to follow-up and follow-through to ensure completion of goals and objectives
• Ability to work both independently and collaboratively towards team objectives
• Ability to balance multiple priorities in a dynamic work environment
• Bachelor’s degree or the equivalent in experience and education

Preferred
• Experience in sales, marketing and/or recruiting
• Experience in student services and/or graduate admissions
• Knowledge of graduate business programs
• Knowledge and use of SLATE or other admissions/CRM software programs

Work Conditions
• Work in office environment, involving contact with students, faculty, staff, parents, and service providers.
• Work has deadlines, multiple interruptions, high volume and may be stressful at times.
• Occasional night and/or evening hours required to meet requirements of the position.
