Financial Aid Coordinator

Job Description

Summary: 

Administrative position responsible for executing daily and other periodic operational and technical processes associated with the delivery and reconciliation of financial aid, including loans, to all student populations attending the University.  

 Primary Duties and Responsibilities:

  • Daily query of virtual mailbox to draw in files from federal processor (COD).
  • Generate origination and disbursement loan and grant files within PowerFAIDS system and export to COD.
  • Run student account disbursement processes between the PowerFAIDS and Jenzabar systems.
  • Communicate with Student Accounts personnel to ensure disbursement files are posted to student accounts in timeframes required by federal regulations.
  • Weekly reconciliation of awards, amounts and dates for all awards as between PowerFAIDS, Jenzabar and COD systems.
  • Send loan disbursement notifications to students and parents in compliance with federal regulations.
  • Send Federal Direct Loan Exit Counseling notifications to students who have separated from the University.
  • Reconcile exit counseling holds in Jenzabar system with the PowerFAIDS record of exit counseling completed by students.
  • Respond to and cure all systems error messages associated with the exchange of files between PowerFAIDS, Jenzabar and COD.
  • Respond to Student Financial Services Counselor inquiries regarding status of student loans and grants disbursements.
  • Certify, award and process all private/alternative loans in the ELM system and in PowerFAIDS.
  • Communicate with Queens Finance Office to ensure funding of private loans before disbursement to student accounts.
  • Process disbursements of outside scholarships and reconcile with general ledger monthly.
  • Have working knowledge of federal regulations, state law and university policies governing the processing and disbursement of financial aid in order to ensure compliance.
  • Re-tool all relevant PowerFAIDS selection sets, as needed, to deal with changing terms, student populations, systems upgrades and changing processes.
  • Provide superior customer service to students, their families, Student Financial Services personnel and other departments within the University.
  • Maintain an exceptional level of confidentiality.
  • Contribute to the ongoing conversation regarding improvement of operational and systems processes as part of the collective effort to ensure Student Financial Services delivers the highest possible level of efficiency and customer service.

 Secondary Duties and Responsibilities :

  • Send periodic electronic communication to various student populations, including missing document notification, federal direct loan MPN and Entrance Counseling needs, and other communication as needed.
  • Serve as back-up for monitoring the financial aid office general email account.
  • Run other Student Financial Services systems-based processes, as necessary.
  • Ensure adequate back-up is in place when out of the office.
  • Be familiar with all relevant Student Financial Services Policies and Procedures to ensure compliance.

Non-essential Duties and Responsibilities:

  • Other duties and special projects may be assigned to meet university needs.

Qualifications

Skills, Knowledge, and Experience Required:

  • Bachelor’s degree, or equivalent education and experience
  • Proficiency with Microsoft Excel, including V Lookup and Pivot Tables.
  • Experience working with Microsoft Access databases preferred.
  • Financial aid, finance, accounting experience is preferred.
  • Excellent interpersonal, communication, organization and analytical skills.
  • Proven customer service skills and enthusiasm for providing exceptional service to diverse populations including undergraduate and graduate students, parents, staff, faculty and other constituencies.
  • Experience in multi-task and detail operations.
  • Ability to work both independently and collaboratively towards the optimum delivery of service to the customer.
  • Working knowledge of federal and state regulations regarding student financial aid preferred.
  • Flexibility in work schedule to accommodate limited evening and weekend hours.
  • Proficiency with Microsoft Office.
  •  Preference given to candidates with PowerFaids and Jenzabar software experience.

  • Cognitive/Emotional: Ability to critically think and concentrate. Must be able to respond quickly to changes in conditions – 75-100% of the time

Work Conditions

  • Work in office environment, involving contact with faculty, staff, students, parents, service providers and vendors.
  • Work has deadlines, multiple interruptions and may be stressful at times.
