Job Description

SUMMARY

DNN is seeking an exceptionally bright, energetic, self-motivated Office Manager. We are looking for a dynamic individual who can wear many hats and prioritize multiple projects. This role will include daily activities from reception to project based work, to making travel arrangements. The Office Manager will have a gracious and professional manner as well as a great sense of humor.  


PRIMARY RESPONSIBILITIES

  • Primary phone coverage, monitor the company’s main voicemail and route messages as appropriate
  • Greet visitors 
  • Maintain the common areas of the office, including but not limited to keeping the office and conference rooms tidy, unloading and loading the dishwasher each morning/evening and organizing kitchen supplies, organizing the office supply cabinet as needed
  • Create and modify documents using Microsoft Office 
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing and filing
  • Maintain hard copy and electronic filing system 
  • All aspects of shipping and receiving, including sorting and distributing incoming mail and packages
  • Research, price, and purchase office and kitchen supplies
  • Plan and coordinate meetings, events and conferences 
  • Maintain and post conference room calendar daily
  • Maintain office equipment by calling for repairs and maintaining equipment inventories
  • Update the Sales Achievement Board and Monthly Sales Leader Board
  • Support all staff in assigned project based work 
  • Running errands, as needed
  • Other duties as assigned

Additional Responsibilities

  • Assist with recruiting and HR functions as appropriate
  • Board Meeting preparation, scheduling, and logistics
  • Book travel arrangements for DNN staff, and others as required


Qualifications

Knowledge and Skill Requirement

  • Two to four years of Office Management experience
  • Effective communicator, both verbally and with written correspondence
  • Positive, energetic personality 
  • Ability to model and promote a positive organization culture
  • Proficient in Microsoft Office
  • Thoroughness with excellent attention to detail
  • Familiarity with travel logistics
  • Discretion and professionalism in handling confidential information is critical
