Job Description

Position Summary


Applerouth seeks a self-directed, organized, motivated individual to serve as assistant to its chief operating officer (COO).  This individual will be responsible for:

  • Providing COO with administrative and organizational support;
  • Maintaining COO's calendar, scheduling appointments, tracking commitments, and otherwise assisting in management of COO's work schedule;
  • Coordinating all company conference registrations, and booking all conference and other travel;
  • Assisting with payroll, billing, tax reporting, expense reporting, and budget reporting;
  • Maintaining all HR-related paperwork, including personnel files and benefits enrollment forms;
  • Maintaining business registrations and licenses;
  • Assisting COO to create and maintain organized structure for all paperwork;
  • Overseeing and administering employee and customer appreciation programs, including but not limited to: sending birthday cards, perfect score cards, and referral cards; ordering company awards; and coordinating award nominations;
  • Gathering any reports/items due to the COO, including weekly meeting agendas, status reports, training calls, and expense reports;
  • Writing, editing, and distributing “The Core,” a weekly internal newsletter;
  • Coordinating the annual "Apple Corps" conference and holiday party, including all sessions, logistics, and travel;
  • Completing and running special projects;
  • Running various office errands, including: depositing checks, going to the post office, tidying the office, or picking up birthday cakes;
  • Attending team meetings, companywide meetings, and weekly check ins with management;
  • Performing other clerical or administrative duties, as assigned.

Qualifications

  • Excellent interpersonal, written and oral communication skills
  • Excellent planning, organizational, and prioritization skills
  • Ability to operate with minimal direction or supervision
  • Ability to juggle several projects simultaneously
  • Ability to maintain confidentiality of HR- and other sensitive information
  • Previous experience using payroll software, Quickbooks, the Google Suite, and Excel strongly preferred
  • BA/BS strongly preferred
