Administrative Assistant/ Executive

Company Description

Our client, a leading Gas Producing and Retailing Company in Singapore, is looking for their Administrative Assistant/ Executive to handle all aspects of office administration and maintenance for the project team.

Job Description

  • Verify and process invoices of office equipment and supplies purchase
  • Monitor and procure office stationery and pantry supplies
  • Prepare workstations, rubber stamps and name cards for new staff
  • Manage public phone calls, front desk enquiries and update of telephone directory
  • Handle all incoming and outgoing mails, arrangement of courier services and internal despatch
  • Oversee maintenance of office facilities/equipment eg. photocopiers, pantry services and overall office hygiene & cleanliness
  • Process utilities (eg. printers’ log sheet), rental and maintenance bills
  • Manage access card system, staff claims and meeting rooms facilities
  • Process new season parking applications and quarterly season parking renewal application
  • Distribute company notices, announcements and circulars timely
  • Prepare monthly administrative reports (eg. newspaper records)
  • Any other duties assigned by the Supervisor

Qualifications

  • Minimum ‘O’ Levels and above
  • Minimum 2 years of relevant working experience
  • Possess good interpersonal and communication skills
  • Team player, good initiative, eye for detail, good organization skills
  • Proficiency in MS Office applications, namely Excel, Word and Power Point
  • Able to start work immediately
