Job Description

Summary

The Specialist, Constituent Records and Prospect Research has significant responsibilities in the area of data integrity to assure that database records are updated and maintained in an accurate and timely manner, while also providing insightful research to support fundraising priorities. The Specialist is the point person in maintaining accurate and up-to-date records for alumni, parents, corporations, foundations and other friends of the University, establishing research methodologies and creatively using a variety of tools to locate updates and missing information. The Specialist applies these same creative, analytical thought processes to prospect research projects, including identifying target prospect pools through assessing capacity, affinity and propensity to give.  

The Specialist, Constituent Records and Prospect Research must have exceptional writing and analytical skills, a customer service-oriented attitude and a high degree of proficiency in using the Raiser’s Edge database, as well as familiarity with the Body of Knowledge developed by the Association of Professional Researcher in Advancement (APRA).

Essential Duties and Responsibilities

Constituent Records

  • Ensures accurate and timely updates to all constituent records, including contact information, biodemographic and interest codes, relationships and freeform notes.
  • Utilizes online research sites to acquire updated information for constituent records, including subscription services and search engines.
  • Develops and implements creative strategies for data acquisition in collaboration with the Alumni Office.
  • Assists in developing, applying and tracking meaningful data codes that inform fundraising strategy.
  • Coordinates data integrity projects as assigned.

Prospect Research

  • Researches and writes profiles to support Presidential calls, including biographical information, wealth and engagement ratings, and the prospect’s relationship history with Queens.
  • Initiates and conducts research for incoming families to assess wealth and philanthropic propensity, using quantitative criteria such as income, real estate, stocks and other hard assets, as well as giving patterns and other wealth indicators.
  • Develops a prospect pool for Parents Council, and prepares related reports.
  • Initiates and conducts research to identify prospect pools for Alumni Reunion and other annual giving initiatives, and prepares related reports, including relationship mapping.
  • Tracks and maintains proposal records, in collaboration with gift officers and the Director of Advancement Communications and Foundation Relations.
  • Creates and maintains VIP invitation lists.
  • Assists with other prospect research projects as assigned.

Nonessential Duties

  • Creates queries, exports and reports using the Raiser’s Edge database and the Microsoft Office software suite.
  • Supervises student workers.
  • Staffs university events as needed as part of the Advancement team.
  • Performs additional projects as assigned.

Qualifications

Experience, Skills and Qualifications Required

  • Baccalaureate degree required, or combination of experience and education. At least two years of prospect research experience preferred.
  • Proficiency in the use of Microsoft Office products (Word, Excel, Outlook and Access). 
  • Proficiency in the use of LexisNexis, ResearchPoint or WealthEngine, and other standard prospect research tools.
  • Experience in using Raiser’s Edge software preferred, including data entry and reporting.
  • Ability to take initiative and think creatively in resolving research questions.
  • Excellent writing skills.
  • Detail-oriented, with appreciation for the visual impact of documents and reports.
  • Familiarity with the Body of Knowledge developed by the Association of Professional Researchers in Advancement (APRA), particularly the Prospect Research and Relationship Management domains.
  • Excellent organizational skills and the ability to work both independently and as a member of a team.
  • Excellent interpersonal and customer service skills.
  • Ability to use discretion when dealing with sensitive, confidential materials.
  • Flexibility to work some evenings and weekends as needed for special events and projects.

Physical Requirements (with or without reasonable accommodation)

  • Eye-Hand Coordination: Requires hand-eye coordination and manual dexterity sufficient to operate a computer keyboard, copier, calculator and other office equipment
  • Talking: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly
  • Repetitive Motion: Movements frequently and regularly required using the wrists, hands, and/or fingers
  • Average Hearing: Able to hear average or normal conversations and receive ordinary information
  • Average Visual Abilities: Average, ordinary, visual acuity necessary including close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
  • Physical Strength: Will regularly be required to sit, use hands to finger, handle or feel objects, tools and controls reach with hands and arms. Must be able to stand, walk, stoop, kneel, or crouch. Must regularly lift and/or move up to 10 pounds, and occasionally lift and/or move up to 20 pounds

Work Conditions
  • Work in office environments, involving contact with faculty, staff, students, parents, service providers and vendors
