Job Description

Essential Duties and Responsibilities
• Manage office and provide high quality, timely administrative support for the faculty and dean (e.g., duplication, scanning, mailings, filing, etc.).
• Greet visitors, answer phones, sort mail and respond to routine inquiries and correspondence.
• Monitor and coordinate general School communications.
• Maintain financial records, process financial transactions, monitor budgets and prepare relevant reports.
• Maintain curricular records and respond to inquiries regarding academic policies and procedures.
• Assist with academic calendaring and course scheduling.
• Accurately and timely organization and maintenance of paper and electronic filing systems, including personnel files, student records, course information, forms and reports.
• Assist with faculty-related work requests, such as travel expenses and reimbursements and space reservations.
• Ensure confidentiality of highly confidential information, including FERPA-related records.
• Monitor and maintain adequate office and hospitality supplies for the School based on faculty/staff need.

Nonessential Duties
• Other duties as necessary to meet School and University needs.

Qualifications

Experience, Knowledge & Skills Required
• At least five (5) years administrative support experience, preferably in an academic environment.
• Excellent interpersonal and customer service skills and experience interacting with multiple constituencies (faculty, staff, students, public).
• Ability to work well in an open/flexible physical office environment.
• Strong written and verbal communication skills.
• Proven attention to detail, accuracy and timeliness.
• Excellent organization and follow-up and follow-through skills to ensure timely completion of tasks.
• Ability to multitask in a fast-paced environment, appropriately prioritize projects, and meet given deadlines.
• Proficiency with Microsoft Word, Outlook, PowerPoint, and Excel and ability to quickly learn and utilize new software programs.
• Experience working with project management/team collaboration software (such as Slack, Asana, Microsoft 365, or Google Drive) preferred
• Ability to effectively work independently and as a member of a team.
• Budget management experience preferred.
• Bachelor's degree or the equivalent in experience and education.

• Lifting, Pulling, Pushing: Exert up to 50 pounds for force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects, 0-24% of the time

Work Conditions
• Work in office environment involving contact with faculty, staff, students, parents, service providers and vendors.
• Work has deadlines, multiple interruptions, high volume and may be stressful at times.
• Work is conducted in an open/flexible physical office environment.
