Executive Assistant to the Provost & Vice President of Academic Affairs

Job Description

Summary:

The Executive Assistant to the Provost/VPAA is a full time position reporting directly to the Provost, and is responsible for efficient management of the Academic Affairs Office.

The Provost oversees all academic operations of the University as well as student affairs. Direct reports include the Associate Provost & Dean of University Programs, the Dean of Graduate & Continuing Studies, all other academic deans, the Dean of Students, the Director of Institutional Effectiveness, the Director of the Center for the Advancement of Faculty Excellence, the Registrar and the University Librarian.

Essential Duties and Responsibilities:

  • Manage the Provost’s calendar and schedule 
  • Support the Provost in preparing for meetings and external guests
    Make complex travel arrangements 
  • Draft, edit, and process correspondence for the Provost and manage incoming materials
  • Process/file both electronic and hard copy files as required
  • Schedule and organize meetings and events for the Provost and the Academic Affairs Office
  • Provide administrative support for the Associate Provost & Dean of University Programs as necessary
  • Work collaboratively with the President’s staff on events as needed
  • Serve on the Commencement Planning Team 
  • Handle routine budgetary processes such as purchase orders, processing invoices, P-cards, etc.
  • Order and maintain office supplies
  • Work collaboratively with other staff to ensure office coverage during business hours 
  • Request and oversee work-study students

Nonessential Duties and Responsibilities:

  • Other duties may be assigned to meet departmental or university needs

Qualifications

Knowledge, Skills, and Experience Required:

  • Bachelor’s degree preferred or equivalent combination of education and experience
  • Minimum of 2 years of relevant experience, preferably in higher education
  • Expertise in Microsoft Office - Outlook, Excel, Word, Explorer, and PowerPoint 
  • Strong computer proficiency and the ability to quickly learn and assimilate new systems and information
  • Must be able to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands
  • Ability to maintain and project a professional image at all times with exemplary poise and diplomacy 
  • Maintain utmost confidentiality and discretion in all things, handling confidential and non-routine information with tact
  • Strong customer service orientation
  • Excellent communication skills, with the ability to communicate well with both internal and external constituents at all levels 
  • Excellent attention to detail
  • Ability to be both highly efficient and effective 
  • Exceptional follow-up and follow-through skills
  • Ability to plan, organize and control large and small projects through to completion
  • Proven ability to work independently and as part of a team
  • Ability to accept direction on assignments and work with minimum supervision, building support from colleagues where applicable
  • Availability to work a flexible schedule, including occasional evenings and/or weekends to meet demands of the position

Work Conditions

  • Must be willing and able to work a flexible schedule to meet requirements of the position, including early mornings, nights and weekends.
  • Work in office environment, involving contact with board members, faculty, staff, students, parents, service providers and vendors.
  • Work has deadlines, multiple interruptions, high volume and may be stressful at times.
