Job Description

We are currently looking for a Full Charge Bookkeeper, with office administration duties, who possesses solid accounting and administrative skills, and is easy to work with. The candidate should be detail oriented, precise, highly organized, punctual and with strong computer skills. Advanced experience in QuickBooks and the Microsoft Office suite is essential and required.

The ideal candidate will be proactive and personable with a can do and positive attitude. This position will report directly to the CFO and work with the CEO.

Responsibilities:

Bookkeeping

Disbursements:
• Obtain approval for and enter all A/P invoices
• Prepare weekly check run
• Obtain approval for and enter all credit card invoices

Invoicing/Collections:
• Apply client payments to A/R
• Follow up with clients to ensure timely collection
• Prepare client invoicing for review prior to sending to clients

Other:
• Reconcile bank, credit card, and other balance sheet accounts as necessary
• Prepare custom reports from our billing system for clients as needed
• Follow up with employees and project managers to ensure time keeping is updated on a daily/weekly basis
• Process semi-monthly payroll
• Prepare 1099s
• Prepare Sales and Property Tax Returns
• Track vacation and paid sick time.
• Filing, scanning, and organization of documents.
• Handle sensitive information and documents with confidentiality.

Office Administration Duties:
• Run the day-to-day functions of the office.
• Maintain and keep office, break room, conference room and supply room well organized.
• Professional in taking business related phone calls, messages, and appointments.
• Greet visitors, clients, and callers in a professional and enthusiastic manner.
• Order and pickup lunch on occasion for the team and client meetings.
• Make travel arrangements, as necessary.
• Plan, coordinate and support special company events as needed.
• Assist with company car maintenance.
• Take on additional tasks and special projects as necessary under CEO and CFO's guidance.

Qualifications

• Must be a team player.
• Trustworthy, dependable and punctual.
• Friendly and professional at all times.
• 3+ years of experience of QuickBooks A/P, A/R, Reconciliations, and general ledger
• Excellent computer skills and extensive knowledge of Microsoft office (Outlook, Word, and Excel).
• Highly organized and efficient with strong time management skills.
• Attention to detail.
• Ability to meet deadlines.
• Excellent verbal & written communication.
• High level of integrity and discretion with proven record of handling confidential information
• Valid driver’s license.
• Customer service oriented.
• Ability to work independently and collaboratively.
• Motivated self-starter, resourceful and creative problem solver.
• Interest in technology is a plus!

This is a full time position at our office in Santa Barbara, CA. Hours: 8 AM to 5 PM Monday through Friday
