Job Description

Role Summary
Reporting to the Business Development Director, the Group Booking Representative is responsible for maintaining and expanding relationships with Fortius’ clients, Tenants, and Resident Sport Partners, and establishing strategic account objectives. This includes liaising with local and national businesses, community sports groups as well as provincial and national sport organizations. Focusing on local, provincial, and national relationships will be critical to the growth and awareness of our brand and revenue. The Group Booking Representative has the ability to plan and effectively coordinate, with precise attention to detail, the complex needs of sport organization, the teams and corporate groups that Fortius host for events, tournaments and training camps. The Group Booking Representative will play a fundamental role in achieving our ambitious customer acquisition and revenue growth objectives.

Key Skills – Excellent interpersonal and communication skills, both written and verbal, good judgement and decision making skills. The ability to plan and effectively organize events and guide prospective clients in the optimal use of the Fortius facility and services. Requires precise attention to detail. Critical thinker and problem solver





Responsibilities

Group Bookings - Business Development
• Exhibit at all times the Fortius standard of excellence and be a positive role model for our vision, values and commitment to client service;
• Collaborate with Facility Operations Manager, Catering Operations Manager and Client Services to effectively coordinate assigned Event, Training Camps, Lodge and Facility bookings (Meeting Rooms, Gymnasium, Soccer Pitch);
• “Own” the coordination and documentation of all of the booking details in an organized and detailed manner and working with colleagues to evaluate profitability;
• Direct responsibility for ensuring that invoices are accurate and are issued for payment within the timelines and standards set out by the BD Director;
• Strive through individual effort and teamwork to ensure excellence in every client interaction;
• Collaborate with internal teams to build rapport with local community centre representatives such as the City of Burnaby – Parks and Recreation as it relates to acquiring additional capacities for field, gym and other sport venues;
• Contribute to the development and maintenance of a database of community sport and corporate contacts;
• Work with the BD team to coordinate and evaluate special projects and community events; striving for the most effective and efficient use of Fortius facilities to meet the vision and ensure fiscal responsibility;
• Maintaining an entrepreneurial mind set, actively engage in opportunity and prospect identification for facility use (gymnasium, pitch, lodge, meeting rooms) and service delivery (Institute);
• Respond to all enquiries (email or phone) and engage with active accounts and prospects for potential events and group bookings;
• Conduct facility tours to showcase Fortius to potential clients;
• Work with CEO and Business Development Team in setting and achieving quarterly revenue targets and key performance indicators;
• Assist with business development activities including proposal development and RFP response;
• Prepare proposal and agreements associated with events and group bookings;
• Once the booking has been confirmed, facilitate a seamless hand-off to appropriate team member(s), ensuring all stakeholders are fully informed and supported;
• Assist in the preparation of business intelligence data as it relates to the field, lodge and gymnasium use;
• Assist in the development and refinement of policies, systems and procedures.


Inside Sales
• Identify new sales opportunities within existing accounts by up-selling and cross-selling;
• Source new sales opportunities through inbound lead follow-up and outbound calls and emails;
• Maintain and expand database of prospects;
• Other duties as required.

 May require flexible work hours from time to time

Qualifications

This position may require flexible work hours (including some weekends and evenings)

Requirements
Qualifications, Skills & Experience:


• Degree or diploma in business administration/management, marketing, communications, or relevant field
• 3+ years of client service experience and inside sales. Relevant industry experience preferred.
• Excellent verbal and written communications and presentation skills
• Highly dependable, deadline driven, and strategic thinker
• Strong ability to handle multiple projects/bookings simultaneously, have a sense for urgency, and adapt to changing priorities
• Strong client focus and attention to detail
• Proficient with Microsoft Office software
• Proficient with booking software such as SmartHotel
• Experience in event management an asset
• Experience working with CRM an asset
